Providers of digital asset management systems also provide various other applications that compliment the central location of digital assets allowing the digital assets to be approved and more easily used across a large distribution channel in a variety of mediums.
Two of the most prominent applications complementing a digital asset management system are project collaboration and dynamic media building.
Project Collaboration
Project collaboration is an application that allows multiple individuals to
review and comment on a project for approval before public release. A scenario
of usage is as follows:
Marketing works with creative to create a promotional piece for an upcoming trade show. Marketing needs executive and legal approval of project before production. Marketing uploads the file and selects a group of executive and legal personnel from an address book for routing. All personnel on the route list receive auto-emails notifying Marketing has a project that needs approval. Executive and legal personnel login to a secure site and review the project. Comments are communicated via annotation tools, allowing users to draw on the project pointing to areas requiring change. Marketing can view all changes communicated by each user complete with time and date stamping for tracking. Once approved, the versioning and history of the approval process is documented to ensure accountability to know how the asset got to its current state.
Dynamic Media Building
Dynamic media building provides the ability for users to create brochures,
direct mail, advertisements, and other marketing collateral from designated
templates using a point-and-click methodology. Variable images and content
follow corporate branding guidelines while they are placed into a template.
The users create and order the brochure for immediate printing or file distribution
in a high or low resolution environment. All images and content are dynamically
fed from the central repository of digital assets and provide an avenue to
utilize corporate digital assets more easily in a variety of marketing channels.
Custom Client Applications
There are other applications that complement digital asset management sources
that are developed specific to the business rules and objectives to be accomplished.
These applications may include catalog production systems and version control
systems.
Catalog Production Systems
Catalog production systems provide support to the consistency of the customer
image and messaging strategies in internet and printed catalogs. The web-based
catalog production system allows an organization to build catalog pages online
using existing graphs, charts, text, images, and logos, along with a variety
of other digital assets. Previously produced catalogs are easily accessed
and modified for future use while maintaining all changes and approvals in
previous versions. Distribution is available for use in web sites or print
media. Catalog production processes vary across each organization requiring
a level of customization to accommodate workflows.
Version Control Systems
Version control systems provide distinct functionality to ensure the ability
to easily identify, browse, locate, rename, move, edit and make available
a specific project file. These systems are provided via an intuitive web interface
to efficiently manage a tremendously large and complex file structure for
broad consumer product lines. The versioning application offers features and
benefits using an external web interface supporting a broader base of external
users with easy access and centralization.
